Booking Terms & Cancellation Policy

The Zenquility Rave Experience

The Zenquility Rave Experience is a private, individually curated immersion created for one or two guests.

Each booking requires significant preparation, the exclusive reservation of Zenquility’s availability and the coordination of specialist suppliers, accommodation, transport, hospitality, reservations and bespoke elements selected for the guest.

These Booking Terms explain how your experience is confirmed, how your investment is allocated and what happens if your plans change.

1. Your Experience Investment

The total investment for the Zenquility Rave Experience begins from £20,000 and is formed of two distinct components:

The Zenquility Experience Fee

£10,000

The Zenquility Experience Fee covers the professional services involved in designing, preparing and delivering your private immersion, including:

  • Initial consultations and personal preparation

  • Bespoke experience design and itinerary development

  • Research, planning and curation

  • Communication and coordination

  • Management of concierge and supplier arrangements

  • Exclusive reservation of Zenquility’s availability

  • Facilitation throughout the experience

  • Post-experience integration support where included

Work on your experience begins once your application has been accepted, these terms have been agreed and payment has been received.

Curated Experience Budget

From £10,000

The Curated Experience Budget is allocated to the external elements required to create your experience. Depending on your chosen itinerary, this may include:

  • Private villa accommodation

  • Concierge services

  • Private chefs and nutrition

  • Airport and private transport

  • Club access, VIP reservations and hospitality

  • Wellness treatments

  • Excursions and private activities

  • Additional specialist suppliers

The final budget may increase according to your dates, accommodation, chosen itinerary and additional requests. Any increase will be discussed and agreed before further costs are committed.

2. Confirming Your Booking

Payment of the full agreed experience investment is required to secure your booking.

Your experience is confirmed only when:

  • Your application has been accepted by Zenquility

  • You have agreed to these Booking Terms

  • Full payment has been received in cleared funds

  • Zenquility has issued written confirmation of your booking

No date, property, supplier or reservation is guaranteed until written confirmation has been provided.

Once your booking is confirmed, Zenquility will reserve the agreed dates exclusively for you and begin the planning, design and coordination of your experience.

3. Use of Your Payment

You authorise Zenquility to begin work on your experience and to make reservations and financial commitments with third-party suppliers following confirmation of your booking.

Supplier costs may become partially or fully non-refundable as soon as they are booked. These costs are committed specifically for your private experience and may include reservation fees, deposits, minimum spends and full advance payments.

Zenquility will maintain appropriate records of material third-party costs committed in connection with your booking.

4. Cancelling Your Experience

All cancellation requests must be submitted to Zenquility in writing.

The effective cancellation date will be the date on which Zenquility receives your written request.

If you cancel, any refund will be calculated by deducting from the amount paid:

  • The reasonable value of the planning, design, consultation, coordination and other professional services already performed

  • Reasonable administrative costs directly connected with your cancellation

  • Any third-party deposits, bookings or supplier charges that cannot be recovered

  • Any other reasonable and evidenced loss arising directly from the cancellation, including the loss associated with dates reserved exclusively for your experience where Zenquility is unable to resell them

Zenquility will take reasonable steps to reduce avoidable losses and, where practical, seek refunds or credits from suppliers.

Zenquility will not retain more than the reasonable value of the services provided, costs committed and losses incurred as a result of your cancellation.

5. The Zenquility Experience Fee Upon Cancellation

The Zenquility Experience Fee protects and compensates the time, expertise, creative direction, planning, preparation and exclusive availability committed to your experience.

The amount retained from this fee will reflect:

  • The work completed before cancellation

  • The stage reached in the planning process

  • The level of personalisation and curation already undertaken

  • The time reserved for consultations and preparation

  • The proximity of the cancellation to your arrival date

  • Whether the reserved experience dates can reasonably be resold

  • Any other direct and reasonable loss connected with your cancellation

Where planning and preparation have been substantially completed, or where cancellation occurs sufficiently close to the experience that the dates cannot reasonably be resold, up to the full Zenquility Experience Fee may be retained.

Any portion not reasonably earned or required to cover Zenquility’s direct cancellation losses will be returned to you.

6. Curated Experience Budget Upon Cancellation

Any part of the Curated Experience Budget that has not yet been committed to suppliers will be eligible for refund, subject to any reasonable cancellation administration costs.

Where funds have already been committed:

  • Non-refundable supplier costs will be deducted

  • Partially refundable costs will be deducted to the extent they cannot be recovered

  • Any money subsequently recovered from suppliers will be returned to you

  • Supplier credits may be offered instead of cash where that is the only remedy made available by the supplier

Zenquility cannot guarantee that a supplier will approve a refund or transfer. Supplier cancellations remain subject to the individual supplier’s own terms.

A summary of relevant committed and recoverable costs will be provided when your cancellation is processed.

7. Cancellation Within 60 Days

Cancellations made within 60 days of the scheduled arrival date are likely to result in substantial or complete loss of the amount paid.

By this stage:

  • Planning and curation may be substantially complete

  • Zenquility’s time and availability will have been reserved

  • Alternative bookings may no longer be possible

  • Accommodation and supplier costs may be non-refundable

  • Reservations and minimum-spend commitments may already be payable

Any refund will nevertheless be assessed according to the services completed, recoverable supplier funds and reasonable losses actually incurred.

8. Transferring Your Booking

Where you are unable to attend, Zenquility may permit your booking to be transferred to alternative dates.

Transfers are considered individually and are not guaranteed. They remain subject to:

  • Zenquility’s availability

  • Supplier availability

  • Seasonal price differences

  • The ability to transfer existing bookings

  • Payment of any additional supplier or administrative costs

A transfer does not create an automatic entitlement to a refund.

Unless otherwise agreed in writing, a transferred experience must take place within 12 months of the original arrival date.

Only one date transfer will normally be permitted.

9. Replacement Guests

A request to replace one or both guests may be considered where sufficient notice is provided.

All replacement guests must:

  • Complete the Zenquility application process

  • Be accepted as suitable for the experience

  • Agree to all applicable terms and participation requirements

  • Provide all required health, dietary and travel information

Zenquility may decline a proposed replacement where doing so is reasonably necessary to protect the safety, suitability or integrity of the experience.

Any additional costs arising from a guest replacement will remain payable by the original booking guest.

10. Changes Requested by You

Requests to change dates, accommodation, itinerary elements, guest numbers or confirmed services may result in additional charges.

You will be responsible for:

  • Supplier amendment fees

  • Price increases

  • Replacement bookings

  • Additional planning or administration

  • Any costs that cannot be recovered from the original arrangements

No material change will be confirmed until any additional payment has been received.

11. Cancellation by Zenquility

If Zenquility cancels your experience for reasons within its reasonable control, you will be offered:

  • A refund of the amounts paid for services that will no longer be provided; or

  • An alternative experience date acceptable to both parties

Zenquility will not retain payment for services it has cancelled and will comply with any refund rights required by applicable law.

Where cancellation results from unavoidable and extraordinary circumstances beyond Zenquility’s reasonable control, your rights and any refund will be determined in accordance with applicable law and the nature of the booking.

Zenquility is not responsible for independently arranged flights, accommodation, transportation or other services that do not form part of your confirmed booking with Zenquility.

12. Itinerary Adjustments

The itinerary is intentionally responsive and may be refined before or during the experience to preserve its quality, safety and overall intention.

Weather, venue operations, supplier availability, wellbeing considerations or circumstances outside Zenquility’s reasonable control may require an element to be changed.

Where reasonably possible, Zenquility will provide a suitable alternative of comparable quality or value.

A minor itinerary adjustment will not normally give rise to a right to cancel the entire booking.

Your statutory rights in relation to any significant change remain unaffected.

13. Travel Insurance

Comprehensive travel insurance is strongly required for every guest from the date the booking is confirmed.

Your policy should provide appropriate cover for:

  • Cancellation and curtailment

  • Illness and medical treatment

  • Travel disruption

  • Missed or delayed transport

  • Personal belongings

  • Activities included in your itinerary

  • Any circumstances specific to your health or travel plans

Failure to obtain suitable insurance does not transfer responsibility for cancellation costs to Zenquility.

14. Guest Responsibilities

You are responsible for:

  • Providing accurate and complete booking information

  • Disclosing relevant health conditions, allergies and dietary requirements

  • Holding a valid passport and all required travel documentation

  • Arranging suitable flights unless expressly included

  • Arriving at the agreed location at the required time

  • Following reasonable safety and participation guidance

  • Behaving respectfully towards facilitators, staff, suppliers and venues

Failure to provide material information may affect Zenquility’s ability to deliver parts of the experience safely and may result in changes to, or termination of, participation.

15. Statutory Rights

Nothing in these Booking Terms removes or limits any rights you hold under applicable consumer or travel law.

Where any part of these terms conflicts with a mandatory legal right, that legal right will take precedence.

16. Acceptance

By confirming your booking, you acknowledge that:

  • The experience is bespoke and prepared specifically for you

  • Zenquility begins providing professional services following confirmation

  • The agreed dates are reserved exclusively for your experience

  • Supplier costs may become non-refundable immediately

  • Cancellation may result in the loss of some or all of the amount paid

  • Any amount retained will reflect services provided, committed costs and reasonable cancellation losses

These Booking Terms form part of your agreement with Zenquility.

Big Love,
